Designing a safety briefing tool for Apple

Project overview

In 2019, just before the Covid-19 pandemic hit, Apple commissioned our agency to create a new internal tool for their Crisis Management Team — one that would let them send more relevant, curated safety briefings to Apple employees travelling overseas. The existing third-party solution wasn’t flexible or aligned enough with Apple’s standards, so the decision was made to replace it with something bespoke.

We designed, tested, and delivered an MVP in just three months.

My role

As the UX designer on the project, I was responsible for:

  • Contributing to discovery workshops and supporting the MVP definition alongside the project strategists

  • Facilitating collaborative sketching workshops with stakeholders

  • Designing and iterating low- and high-fidelity prototypes

  • Conducting usability testing with the actual employees who would be using the tool

  • Creating the final interface in line with Apple’s Human Interface Guidelines

Understanding the problem

Apple employees were receiving pre-travel safety briefings from an external supplier — but the content wasn’t tailored to Apple’s needs. It lacked organisational context and flexibility, and couldn’t support the level of control the Crisis Management Team required. Our task was to design a simple, effective internal tool that empowered the team to create and manage their own briefings in a way that aligned with Apple’s standards.

Discovery phase

We began with a rapid discovery workshop alongside Apple’s internal team to understand how safety briefings were being sent, what the new tool needed to achieve, and what success would look like.

I contributed to:

  • Mapping the current process and identifying user pain points

  • Participating in user story mapping to define key interactions

  • Helping shape the scope of the MVP based on what was most valuable and feasible within the timeline

This phase gave us a clear foundation to begin designing and testing solutions with real users.

Designing and testing solutions

With a clear understanding of the requirements, we moved into designing the experience. The process was collaborative and iterative, allowing us to quickly explore ideas, test with real users, and refine the solution based on feedback.

  • Facilitated collaborative sketching sessions with stakeholders to explore ideas and agree on direction

  • Created low-fidelity wireframes and a clickable prototype to bring the concept to life

  • Conducted usability testing with the actual employees who would use the tool

  • Iterated based on feedback from multiple testing sessions during the design phase

  • Produced a high-fidelity design aligned with Apple’s Human Interface Guidelines

The outcome

The new tool launched in October 2019 and quickly became part of Apple’s internal travel safety process. By December 2019, the team had already sent out nearly 20,000 briefings, and feedback from employees was positive.

With the MVP successfully in use, Apple planned to continue expanding the tool. At the time, we had 36 user stories in the backlog — ready to shape the next phase of development.
